Senior Executive Assistant, Macquarie Capital


We currently have an exciting opportunity for a Senior Executive Assistant to support The Head of APAC, within our Macquarie Capital business based in Singapore. 

Working in a fast-paced and close-knit team environment your role will involve extensive diary management including arranging both internal and external meetings, face to face and virtual.  There will be extensive international travel and accommodation, visas, meeting rooms and restaurant coordination.  Your role will require regular interaction with other assistants (both internal and external companies and clients) including coordination conference calls with international offices and managing different time zones.  

In addition, you will oversee multiple video calls per week which includes managing the waiting room, agenda, participants, and presentations when required.  Extensive inbox management is needed including filing of emails and arranging paperwork and board level documents for meetings.   You will be required to answer all requests (calls and emails) professionally and in a timely manner, raise invoices and assist with the approval of invoices, manage expenses as well as enter contacts and meeting notes into Salesforce and LinkedIn. You will have a team assistant to assist with some aspects of the role and will have the opportunity to support and mentor junior EA's in your team and grow into a managerial role.

You will have a proven track record in providing Executive Assistant support within the Professional Services industry (Finance, Consulting, Legal etc) supporting C-Suite level Executives. You will be able to demonstrate a proactive approach with the ability to fully understand the nature of the business and priorities within the team.  You will have a high degree of discretion, confidentiality, professionalism, and exceptional attention to detail. You will be a clear communicator, confident in liaising with Executives across all levels of the business hierarchy, both internally and externally.  Strong organisational, planning and multi-tasking abilities will also underpin your success, ensuring you are able to effectively manage conflicting priorities.

You will be a strong collaborator with the Global EA team, resourceful and able to work independently.  You will thrive in a dynamic business where accuracy, hard work and flexibility are imperative.
