Administrative Assistant, Specialized and Asset Finance

Join a high performing team as an Administrative Assistant within the Specialized and Asset Finance division of Macquarie in Jacksonville, Florida. This is a unique opportunity to secure a position on a rapidly growing team at an established and truly global organization where you will have the chance to grow a long-term career.

As the Administrative Assistant you will have the opportunity to work in a fast-paced environment where you will be responsible for expense/invoice preparation and payments, coordination of domestic and international travel, managing office supply stock, and assistance with mailing documents and packages. Additionally, you will help with scheduling and planning meetings and team events.  In this role you will be expected to be the gatekeeper that maintains the office running efficiently. This is a highly visible position with exposure to many core functions and leaders within the organization.

To be successful in this role you will have the ability to work within a fast-paced environment, where you will show initiative and be resourceful, have strong communication skills and the ability to multi-task and have excellent attention to detail. Additionally, you will have the ability to easily adapt to different situations, be able to liaise with all levels within the organization, including senior management, in a professional and confident manner and the ability to maintain/manage confidential information.

Required Qualifications

  • High School diploma or equivalent education required.
  • Proficient in MS Office suite
  • 1+ years working in an office environment.

Preferred Qualifications

  • Bachelor’s degree
  • 2+ years in an administrative role
  • Experience booking business travel
  • Proficient in Concur
  • Notary Public – State of Florida
