Executive Assistant - Macquarie Asset Management ANZ


MAM is seeking an Executive Assistant to support its Public Investment Equity business.  The Equity Platform is a global collective with more 100 investment professionals in Australia, Asia, Europe and US. Together, the platform manages over A$245B for investors around the world and the team is looking for additional support for the capabilities based out of Australia.

Your responsibilities will include:

  • Extensive diary management - including arranging meetings and conference calls with internal/external parties and responding to invitations
  • Extensive international and domestic travel - including coordination of approvals, preparation of itineraries and logistical arrangements
  • Acting as coordinator and main point of contact for the team
  • Organising internal team events
  • Preparing / formatting documents, including papers, letters, presentations and other communications (Word, Excel, Powerpoint)
  • Processing of invoices and expense claims and reconciliations for payment, adhering to our expense policies and procedures
  • Booking meeting rooms
  • Managing training hours for the business, recording training hours for executives
  • Maintaining attendance and gifts registers
  • Collecting and sorting mail
  • Maintaining an orderly and tidy workspace
  • Organising and sourcing supplies
  • Coordinating technology assistance

To be successful in this role you will have:

  • Five years plus experience in a comparable role
  • Reliable and stable work history
  • High level of attention to detail
  • Intermediate to Advanced level of skill and knowledge in Microsoft Office applications
  • Advanced level of Powerpoint highly desirable
  • Strong organisational and time management abilities
  • Confident, professional telephone manner and ability to liaise and communicate in a clear and articulate manner, on all levels
  • Ability to solve problems and demonstrate initiative
  • Background and/or interest in finance industry highly regarded
  • Initiative and proactive work practices
  • Ability to work under pressure and meet deadlines with limited supervision, setting own goals and objectives to support broader business objectives
