Administrative Assistant-3 Month Contract-Capital Markets

Macquarie Capital - Administrative Assistant-3 Month Contract

In this role, your responsibilities will include the following:

•  Manage stationary orders and maintain print room and general office cleanliness

•  Efficiently manage telephone traffic

•  Prepare general office invoices and occasional expense reimbursements for the team

•  Assist document management with scanning and storing of files

•  Effectively use and update the client relationship management database on behalf of executives

•  Print, photocopy and bind documents as required

•  Provide back-up support to Executive Assistants when on leave, including:

    • Manage and maintain appointment diaries and contacts (input new business cards)
    • Arrange travel bookings for the team, with attention to cost considerations
    • Maintain attendance registers; record and submit leave requests

•  All word processing completed with accuracy and high standard of presentation, including proof reading

•  Book meeting rooms as requested

•  Order business cards as required

•  Other responsibilities as required

To be successful in this role, you will have:

•  Ideally a minimum 1 year experience in a similar role

•  Post-secondary education

•  Ability to work well under pressure

•  Adaptable to different work and communication styles

•  Exercise appropriate judgement and discretion, especially when handling confidential information

•  Familiarity with expense management

•  Comprehensive PC skills, including Word, Outlook and PowerPoint

•  Working knowledge of Excel

•  Organized and able to multitask

•  Excellent communication skills

•  Professional presentation

•  Flexibility to work for several people and willingness to work longer hours when required

•  Team and service orientation
