Macquarie Capital Advisors - Administrative Assistant


 In this role supporting the Equity Capital Markets and Syndication team, your responsibilities will include the following:

•  Familiarise yourself with and perform duties in accordance with Macquarie policies

•  Maintain transaction documents and administer key document checklists for deals, including the scanning and appropriate storing of files

•  Track all deal expenses and prepare client billings

•  Transcribe and distribute meeting material

•  Efficiently manage telephone traffic

•  Manage client relationship database for senior executives

•  Arrange travel bookings for the team, with attention to cost considerations

•  Prepare expense reimbursements for the team (AMEX and Cash)

•  Photocopy and bind documents as required

•  Record and submit leave requests

•  Book meeting rooms as requested

•  Order stationery and business cards as required

•  Participate in organizing client events and corporate days as required

•  Manage and maintain appointment diaries, contacts (input new business cards) and manage inbox as requested

•  Other responsibilities as required


To be successful in this role, you will have:

•  Ideally a minimum 2-3 years proven experience in a similar role

•  Post-secondary education

•  Ability to work well under pressure and exercise appropriate judgment, especially when handling confidential information

•  Comprehensive PC skills, including Word, Outlook and PowerPoint

•  Working knowledge of Excel

•  Organized and able to multitask

•  Excellent communication skills

•  Professional presentation

•  Flexibility to work for several people and willingness to work longer hours when required

•  Team and service orientation

•  Familiarity with expense management
