Working from the Calgary office, the Administrative Assistant will be responsible for the following:
Prepare expense reimbursements for the team (AMEX and Cash)
Manage and maintain appointment diaries, contacts, preparing all client invoices
Order stationery, office supplies and business cards as required
Assist document management with scanning and storing of files
All word processing completed with accuracy and high standard of presentation, including proof reading
Type and format reports, PowerPoint presentations, letters, agendas, etc. as required by the team, with attention to detail
Maintain client retention database
Transcribe and distribute meeting material
Efficiently manage telephone traffic
Arrange travel bookings for the team, with attention to cost considerations
Photocopy and bind documents as required
Order stationery and business cards as required
Other responsibilities as required
Schedule and maintain schedule diaries
To be successful in this role, you will:
Possess a minimum of 1-2 years experience in a similar role, and have a post-secondary qualification
Be able to work well under pressure
Exercise appropriate judgment and discretion, especially when handling confidential information
Have familiarity with expense management
Have comprehensive PC skills, including Word, Outlook and PowerPoint, and working knowledge of excel
Be organized and able to multitask
Have excellent communication skills (both oral and written)
Present yourself professionally
Be able to work for several people and have the willingness to work longer hours when required
Be team and service oriented
